Lofty Account Setup.

Lofty is the primary CRM used by Coast to Coast Collective to organize contacts, manage leads, communicate with clients and support the systems that keep your business moving. Your goal in this step is to make sure your account is activated, accurate and ready for daily use.

This step counts toward your overall Lofty setup checklist.

Getting Started With Lofty

Training video created by Adam Gillespie · Apex Elite AI

Lofty Training

Why It Matters

Your CRM Should Work Before the Lead Arrives.

Lofty becomes significantly more valuable when your account information, communication settings and core preferences are configured before you begin actively working leads. Take the time now to build the foundation correctly.

C3 Setup Check

Before Moving On

Confirm these basic Lofty account items are complete.

✓ Confirm you can successfully access your Lofty account.
✓ Review your agent profile and confirm your information is accurate.
✓ Verify your primary email address and phone information.
✓ Review your Lofty notification and communication settings.
✓ Familiarize yourself with the primary Lofty dashboard and navigation.

Important

Your Lofty Setup Is Not Finished Yet.

This is the first part of your overall Lofty setup. Next, you will install and configure the Lofty Mobile App. Both steps will roll into the complete Lofty checklist.

Module 02 · Step 02

Lofty Mobile App.

Real estate rarely happens from behind a desk. The Lofty mobile app keeps your leads, contacts, communication, tasks and CRM activity available wherever you are working. Your goal is to make sure the mobile app is installed, connected and configured before you need it in the field.

This step counts toward your overall Lofty setup checklist.

Mobile Training

Why It Matters

Your CRM Should Travel With You.

New leads, client messages and important follow-up rarely arrive at the perfect time. Having Lofty properly configured on your phone helps you stay responsive, organized and connected to your business while you are showing homes, attending appointments or working away from your computer.

C3 Setup Check

Before Moving On

Confirm your Lofty mobile setup is ready for daily use.

✓ Download and install the Lofty mobile app.
✓ Sign in using the same Lofty account you use on desktop.
✓ Allow the notifications needed for lead and client communication.
✓ Confirm your contacts, conversations and tasks are visible in the app.
✓ Familiarize yourself with the primary mobile navigation and lead screens.

Lofty Core Setup

Desktop + Mobile Work Together.

Your Lofty account and mobile app are two parts of the same business system. Completing both helps ensure you can manage leads and client communication whether you are working from your computer or your phone.

Module 02 · Step 03

Team Website Profile.

Your Lofty profile is more than a basic agent bio. It becomes part of your public-facing presence on the Coast to Coast Collective website. Your profile should follow C3 brand standards while also being structured to support local search visibility.

This step counts toward your C3 profile checklist.
Example of a professional Coast to Coast Collective agent profile photo

C3 Profile Example

Professional imagery · Consistent branding · Clear market positioning

Your Digital First Impression

Look Professional. Sound Like You. Be Easy to Find.

Your C3 website profile may be one of the first places a prospective client learns about you. A strong profile should immediately communicate professionalism, credibility, your market expertise and the communities you serve. It should also give search engines clear information about your real estate business without sounding artificial or overloaded with keywords.

C3 Profile Standard

Brand First. Search Smart.

Your profile should sound like you, look like C3 and clearly tell both clients and search engines where you work, who you serve and how you can help.

C3 Brand Guidelines

Your Profile Should Feel Like C3.

✓ Use a current, professional headshot that reflects the quality of the C3 brand.
✓ Make sure your bio is polished, professional and written in a client-focused voice.
✓ Confirm your contact information, brokerage information and service areas are accurate.
✓ Maintain consistent Coast to Coast Collective and Real Broker branding where applicable.
✓ Add your approved website and social media links where available.
✓ Review spelling, punctuation and formatting before considering the profile complete.

SEO Recommendations

Help Search Engines Understand Your Business.

✓ Clearly identify the cities, communities and markets you actively serve.
✓ Include relevant real estate terms naturally throughout your biography.
✓ Mention meaningful specialties such as relocation, luxury, military, waterfront, first-time buyers or other areas you genuinely serve.
✓ Use specific local market language instead of only broad phrases such as “Florida Realtor.”
✓ Write for people first. Do not repeat keywords unnaturally simply for search engines.

Better SEO Language

Instead of only saying “I help buyers and sellers,” identify the actual markets and services you provide, such as helping buyers and sellers throughout Jacksonville, St. Johns County and surrounding Northeast Florida communities.

Before Moving On

Review Your Profile as a Client Would.

Open your public-facing profile and review the entire page before marking this step complete. Your photo should look professional, your information should be accurate, your biography should reflect the C3 brand and your service areas should be clear enough that both a prospective client and a search engine can understand where and how you do business.

Module 02 · Step 04

Team Communications.

Staying connected is part of operating successfully inside Coast to Coast Collective. C3 uses WhatsApp, Zoom and our Team Calendar to keep agents informed, connected and prepared. Make sure your communication tools are set up correctly and that you can receive important team information when it happens.

Stand-Alone Checklist · Complete all communication setup items.

01

WhatsApp

WhatsApp is one of C3's primary communication channels for team announcements, timely updates and collaboration. Make sure the app is installed and that you are included in the appropriate Coast to Coast Collective groups.

Notifications Required

02

Zoom

C3 uses Zoom for weekly team meetings, training and collaborative sessions. Make sure Zoom is installed on the device you normally use for meetings and confirm your camera, microphone and professional display name are working.

Meeting Ready

Important · WhatsApp

Keep Your Notifications Turned On.

C3 uses WhatsApp for communication that may be time-sensitive. Do not mute your primary C3 WhatsApp groups or disable notifications for the app. You do not need to respond to every conversation, but you are responsible for staying aware of important team announcements and updates.

C3 Brand Standard

Customize Your C3 Zoom Backgrounds.

Module 02 · Step 05

Email Signature.

Your email signature is part of your professional presentation every time you communicate with a client, vendor or another real estate professional. Keep it clean, accurate and consistent with Coast to Coast Collective and Real Broker branding.

Stand-Alone Checklist · Professional email signature required.

Why It Matters

Every Email Is Part of Your Brand.

Your signature helps clients quickly identify who you are, how to reach you and the brokerage you represent. Consistency across the team also creates a more polished and professional experience for everyone interacting with Coast to Coast Collective.

C3 Signature Standard

Your Signature Should Include

✓ Your full professional name.
✓ Your real estate title or role.
✓ Your primary phone number and professional email address.
✓ Your Coast to Coast Collective website or agent profile link.
✓ Coast to Coast Collective and Real Broker branding as required by the approved signature design.
✓ Any required brokerage or compliance information included in the final approved template.

C3 Email Signature Template

Signature Template Coming Soon.

The approved Coast to Coast Collective email signature template and setup instructions will be added here. Once available, use the approved template rather than creating a separate signature design from scratch.

Keep It Consistent

Professional. Clean. On Brand.

Avoid adding unrelated graphics, oversized logos, inspirational quotes or unnecessary formatting. The goal is a professional signature that is easy to read and consistent with the C3 brand across devices.

Module 02 · Step 07

Client Files & Transaction Records.

Client information should never be scattered across personal email accounts, text messages, computers and folders. Lofty is the C3 system of record for client files, client communication and transaction activity.

C3 Standard · Client records and transaction activity belong in Lofty.

C3 Operating Standard

If It Involves the Client, It Belongs in Lofty.

One client record. One communication history. One organized transaction file.

All client files and client communications are to be maintained in Lofty so the client record reflects the complete history of the relationship. Once a client goes under contract, the transaction should also be created and maintained within Lofty. The goal is simple: anyone reviewing the client record should be able to understand the communication, transaction status and documentation without having to search through separate systems.

24

Enter Transactions Within 24 Hours.

Once a buyer or seller goes under contract, the transaction must be entered into Lofty within 24 hours. Enter the client, property and transaction information accurately so the record is established while the details are current.

C3 Required Timeline

✓

Upload Signed Documents As They Are Received.

Executed contracts, addenda, disclosures, amendments and other signed documents should be uploaded to the appropriate Lofty transaction as they are received. Do not wait until the end of the transaction to organize the file.

Maintain the File in Real Time

Important · C3 Policy

The 24-Hour Deadline Is a C3 Team Requirement.

Lofty provides the platform and transaction-management tools, but the requirement to enter a new transaction within 24 hours of going under contract is part of the Coast to Coast Collective operating standard. Signed documents should then be added to the transaction as they are received so the Lofty file remains current.

Official Lofty Training

Learn the Workflow Directly From Lofty.

Lofty does not currently provide a single public video that covers this complete workflow, so use the current Lofty help guides below. Logged-in users can also access Lofty's current video tutorials directly inside the CRM.

C3 Transaction Workflow

01

Client in Lofty

Maintain the client record and communication history in the CRM.

02

Under Contract

Create the transaction in Lofty within 24 hours.

03

Upload Documents

Add signed documents to the transaction as they are received.

04

Keep It Current

Continue updating the record throughout the transaction.

C3 Setup Check

Before Moving On

✓ Understand that Lofty is the C3 system of record for client information and activity.
✓ Maintain client contacts and relevant client communication in Lofty.
✓ Create every new transaction in Lofty within 24 hours of going under contract.
✓ Confirm the correct client or lead is associated with the transaction.
✓ Enter transaction information and important contract dates accurately.
✓ Upload executed contracts, addenda, disclosures, amendments and other signed documents as received.
✓ Keep transaction documents inside the appropriate Lofty transaction rather than relying only on personal email or local computer storage.

Good File Management

Don't Reconstruct the Transaction Later.

Maintaining the Lofty record as the transaction progresses keeps information organized, protects continuity and makes it much easier to understand the complete client and transaction history when it is needed.

Module 02 · Step 10

Set Up Your Canva Account.

Canva is the design platform C3 uses to share approved marketing and brand templates with agents. For this step, we primarily need to know the exact email address connected to your Canva account so C3 can share Brand Templates directly with you.

Platform Profile Checklist · Account + Canva Email + Template Access

Canva Setup

Three Simple Steps.

You do not need to complete a full Canva training course here. We simply need your account established so C3 can share the correct brand resources with you.

01

Create or Open Your Canva Account

If you already have a Canva account, you may use it. If you are creating a new account, sign up using the login method you plan to continue using.

02

Confirm Your Canva Email

Identify the exact email address connected to your Canva account. This is especially important if you signed in using Google, Apple or another login option.

03

Give That Email to C3

Provide C3 with the exact email connected to your Canva account. We will use that email when sharing approved C3 Brand Templates and design resources with you.

Optional · Recommended

Keep Canva Available on Your Devices.

Canva works in your browser, but having the app available can make it easier to access shared templates and make quick edits when you are away from your desk.

C3 Setup Check

Before Moving On

✓ Confirm you have an active Canva account.
✓ Confirm you know the exact email address associated with that Canva account.
✓ Provide that exact Canva email address to C3.
✓ Watch for C3 Brand Templates and resources shared to your Canva account.

That's It

We Just Need the Right Account.

You will learn how to use specific C3 Canva templates as they are introduced throughout the program. For Module 2, simply make sure your Canva account works and C3 has the correct email address associated with it.

Module 02 · Step 11

Required Operating Standards.

These are the minimum technology standards expected of Coast to Coast Collective agents. They exist to protect your business, your clients, your transactions and the team. These are not optional suggestions. Read every standard before continuing.

Read Before Continuing
You are responsible for maintaining reliable access to the systems required to conduct your business. A preventable technology problem should not become a client problem, a missed deadline or a security problem.

C3 Minimum Standards

Every Agent Is Expected to Follow These.

Each standard below is written plainly. There should be no confusion about what is expected.

Standard

01

Required

Maintain a Reliable Computer and Phone.

Your primary business devices must be functional, charged, updated and capable of accessing the platforms required to serve your clients.

What This Means

Do not wait until a contract deadline, showing request or urgent client need to discover that your device or required software does not work.

Standard

02

Required

Keep Your Core Business Apps Updated.

Keep your operating system, browser and essential business apps reasonably current.

What This Means

Lofty, REZen, Workvivo, email, calendars and communication apps should remain usable and compatible with your devices.

Standard

03

Required

Protect Your Accounts.

Use strong, unique passwords for important accounts and enable multi-factor authentication whenever available.

What This Means

Do not reuse one password everywhere. Never share passwords, verification codes or authentication prompts with another person.

Standard

04

Required

Keep Priority Notifications Turned On.

You must remain reachable through the platforms used for client, team and brokerage communication.

What This Means

Do not mute or disable important C3, brokerage or transaction-related notifications simply because a platform feels busy.

Standard

05

Required

Protect Client and Transaction Information.

Lock your devices and use care when accessing sensitive information outside your normal secure environment.

What This Means

Use passcodes or biometric locks. Be cautious on public Wi-Fi. Do not leave confidential client or transaction information openly accessible.

Standard

06

Required

Fix Technology Problems Before They Become Urgent.

If a login stops working, an app stops syncing or a device begins failing, address the problem promptly.

What This Means

Do not knowingly carry a broken business system forward until the moment a client or transaction depends on it.

Stop & Verify

If It Involves Money, Logins or Sensitive Information — Verify It.

Real estate is a frequent target for phishing, wire fraud and account compromise. Do not let urgency override verification.

Payment Instructions Verify unexpected or changed payment information through a trusted method.
Login Links Be cautious with unexpected links asking you to sign into an account.
Verification Codes Never give authentication codes to someone requesting them.
Suspicious Attachments Do not open files you were not expecting without verifying the sender.

Minimum Daily Rhythm

Know What Requires Your Attention.

You do not need to stay inside every app all day. You do need to routinely check the systems where leads, clients, deadlines and brokerage communication live.

01

Lofty

Leads, client activity and tasks.

02

Communication

Email, WhatsApp and priority messages.

03

Brokerage

REZen and Workvivo when action is needed.

04

Calendar

Appointments, commitments and deadlines.

Before You Continue

Confirm You Have Reviewed the Standards.

Before moving to MLS Setup, make sure you understand each of the operating expectations above.

✓ I maintain reliable devices for my business.
✓ I keep my essential software reasonably current.
✓ I protect important accounts with strong passwords and MFA where available.
✓ I keep priority client, C3 and brokerage notifications enabled.
✓ I protect access to client and transaction information.
✓ I address known technology problems before they interfere with my business.
✓ I verify suspicious login, payment and information requests before acting.
✓ I understand these are C3 operating expectations, not optional recommendations.

C3 Standard

Technology Is Part of Professional Client Service.

Clients may never see the systems behind your business, but they experience the result when those systems are reliable, secure and properly maintained.

Module 02 · Step 12 · Final Step

MLS & Local Market Access.

Your MLS and REALTOR® association setup is determined by the market where you practice. Coast to Coast Collective operates across multiple markets, associations and MLS systems, and many C3 agents are licensed in more than one market or state. Your goal in this step is to identify the correct local association, activate the MLS systems you need, and confirm that your market access is fully operational.

Final Module 2 Setup · Association + MLS + Showing + Lockbox + Admin Notification

Your Setup Is Local

There Is No Single C3 MLS.

Your market determines the memberships, systems and access you need.

Depending on where you practice, your setup may involve one or more REALTOR® associations, MLS organizations, showing platforms and electronic lockbox systems. Complete the requirements for every market where you plan to actively conduct business.

Florida

Florida Associations & MLS Access.

C3 already operates through several major Florida REALTOR® associations and MLS systems. If one of the markets below is your primary market, start there before applying somewhere new. If you work outside these areas, use the interactive map below to identify the association and MLS that serve your market.

Current C3 Florida Footprint

These are established C3 market areas. Your individual membership and subscriber access may still require applications, dues, training and local activation.

Choose
Your
Association

More Than One Association Serves Your Market?

In many Florida markets, more than one REALTOR® association may serve the same general area. When you have a choice, we generally recommend selecting the larger, more established association serving your primary market. A larger association will often provide broader networking, education, resources, market coverage and access to additional professional opportunities. Your final decision should still reflect where you actively plan to conduct business.

REALTOR® Association Lookup

Find Your Local Association.

Use the interactive NAR / RPR map below to explore REALTOR® associations and MLS organizations serving your area. Zoom into your market, review your options, and identify the organization that best aligns with where you plan to practice.

This section covers Florida access only. Coast to Coast Collective continues to grow across state lines, and many C3 agents hold licenses in multiple states. Additional state-specific association and MLS guidance may be added to the Agent Success Program as our footprint expands.

Complete Your Local Market Access.

Use the checklist below regardless of which association or MLS serves your market.
